An asset register is the starting point for effective F gas control. Leak checks must be completed by appropriately certified personnel. If a leak is found, it should be repaired without undue delay. The repair then needs a follow-up verification check within the required period to confirm that it has been effective. Topping up refrigerant without finding and repairing the cause is not a compliant or cost-effective maintenance strategy.

Keep records that stand up to scrutiny

F gas records are not paperwork for its own sake. They demonstrate that the operator has control of the equipment and can trace what has happened throughout its life.

For each relevant item, records should cover the quantity and type of refrigerant installed, any refrigerant added or recovered, dates and results of leak checks, details of repairs, information on leak-detection systems where fitted, and the identity and certificate details of the engineer or business carrying out the work. Records generally need to be retained for at least five years.

Digital job management can make this far easier for multi-site businesses. Rather than chasing service sheets from separate contractors, the facilities team should be able to see asset history, upcoming visits, defects, certificates and remedial recommendations in one reporting process. That visibility supports budgets as well as compliance.

Use certified engineers for refrigerant work

Installation, servicing, maintenance, leak checking, repair, decommissioning and refrigerant recovery are not jobs for unqualified personnel. The business commissioning the work must ensure that the contractor and the engineer hold the appropriate F gas certification.

The asset register should be updated to show that the equipment has been removed or taken out of service, how much refrigerant was recovered and what happened to it.

This is an area where electrical and HVAC planning should work together. Replacing an old air conditioning system may involve new electrical supplies, isolation arrangements, controls, roof access, condensate drainage and reinstatement works.
